Luxury Safari Travel • Uganda, Rwanda, Kenya & Tanzania

These Terms & Conditions apply to safari and travel arrangements booked directly with Nandi Adventures or through an authorised travel agent, tour operator, travel designer or other trade partner. They should be read together with the confirmed itinerary, invoice and Nandi Adventures Payment & Cancellation Policy.
Contract basis A booking is governed by the version of these Terms & Conditions in force when Nandi Adventures confirms the booking, together with the booking confirmation and any written supplier-specific conditions stated for the services booked. Later website updates do not retrospectively change a confirmed booking unless agreed in writing.
1. About Nandi Adventures
Nandi Adventures Limited is a Uganda-based boutique safari operator creating private, tailor-made journeys in Uganda, Rwanda, Kenya and Tanzania. We arrange accommodation, transportation, guiding, permits, domestic and regional flights and other travel experiences according to the confirmed itinerary.
Some services are provided by independent third-party suppliers, including airlines, lodges, camps, conservation authorities, transport providers, activity operators and specialist guides. Their services are subject to their own operational, safety and cancellation conditions.
2. Definitions
“Nandi Adventures”, “Nandi”, “we”, “us” or “our” means Nandi Adventures Limited.
“Guest”, “traveller” or “you” means each person named on a booking, including anyone added or substituted with Nandi Adventures’ written approval.
“Trade Partner” means an authorised travel agent, tour operator, travel designer, destination specialist or other reseller booking through Nandi Adventures.
“Supplier” means an independent provider of accommodation, transport, aviation, permits, activities or other travel services.
For trade purposes, FIT normally means 1–5 travelling guests. Groups of 6 or more may be subject to separate payment and cancellation conditions.
3. Booking Requests, Holds & Confirmation
A quotation, proposal or provisional hold is not a confirmed booking. Availability is subject to change until Nandi Adventures has accepted the booking in writing and the required payment has been received as cleared funds.
Provisional reservations may be held only for the period stated in the quotation or correspondence. If payment or confirmation is not received by the deadline, the space may be released without liability.
Gorilla and other primate permits are not guaranteed by a quotation or provisional hold. They are secured only after the required permit payment has been received and the relevant authority has confirmed availability.
A booking confirmation, together with the final invoice and confirmed itinerary, records the services, dates, guests, price and specific conditions applicable to the booking.
4. Prices, Quotations & Currency
Unless otherwise stated, quotations and invoices are issued in United States Dollars (USD).
Prices are based on supplier rates, taxes, park and conservation fees, aviation charges, fuel costs, exchange rates and other known costs applicable when the quotation is prepared.
Nandi Adventures will correct genuine pricing or calculation errors when identified and will communicate any correction promptly.
Before confirmation, prices may change if availability, supplier rates, taxes, conservation fees, aviation charges, fuel costs or other material cost inputs change.
After confirmation, Nandi Adventures will endeavour to maintain the confirmed price. Mandatory increases imposed by governments, conservation authorities, airlines or other suppliers may be passed on where they materially affect the cost of the confirmed services. If a mandatory increase causes the total confirmed safari price to increase by more than 10%, Nandi Adventures will give written notice and discuss available options. Any cancellation and refund will remain subject to supplier recovery and applicable permit conditions.
5. Inclusions & Exclusions
The inclusions and exclusions in the confirmed itinerary and invoice form part of the booking. Because Nandi Adventures creates tailor-made journeys, these vary by itinerary.
Unless specifically included, international flights, visas, travel insurance, personal expenses, gratuities, premium beverages, optional activities and services not listed in the confirmed itinerary are excluded.
Airport transfers, accommodation, meals, park fees, permits, guiding, vehicles, boat activities and domestic flights are included only where expressly stated in the confirmed itinerary.
Unused services resulting from a guest’s choice not to participate, late arrival, early departure or no-show are not normally refundable.
6. Accommodation
Accommodation is confirmed subject to availability and supplier confirmation. If the preferred property is unavailable, Nandi Adventures may arrange a comparable or, where appropriate, higher-standard alternative and will communicate the change.
Room categories, views, bed configurations, connecting rooms, early check-in, late check-out, private-use arrangements and other special requests are subject to availability and supplier conditions.
Luxury and exclusive-use properties may carry stricter payment, amendment or cancellation terms. Where applicable, those terms will be stated in the booking confirmation.
7. Flights, Transfers & Baggage
Domestic and regional safari flights are operated by independent airlines and are subject to weather, aircraft availability, air-traffic restrictions, operational decisions, minimum passenger requirements and aviation regulations.
Flight schedules may change. Nandi Adventures will assist with practical re-routing or alternative arrangements where reasonably possible, but airline or supplier charges resulting from disruption may be payable by the guest.
Light-aircraft baggage allowances are normally more restrictive than international airline allowances. The baggage limit stated in the itinerary or flight documentation applies, and soft-sided luggage may be required.
Guests arranging their own international flights should allow sufficient connection time. Nandi Adventures is not responsible for missed onward flights caused by delays or disruptions outside its reasonable control.
8. Gorilla, Chimpanzee & Other Regulated Permits
Gorilla, chimpanzee and other wildlife or activity permits are controlled by the relevant authority and are subject to availability, rules and operating conditions.
Permits must be paid in full before Nandi Adventures can purchase or secure them. Once issued, permits are generally non-refundable, non-transferable and non-amendable unless the issuing authority expressly allows a change or rescheduling.
Permit dates, trekking sectors, groups, routes, start times and operational requirements remain subject to the relevant authority.
Minimum-age, health, fitness and other participation requirements imposed by authorities or suppliers apply at all times.
9. Safari Flexibility, Wildlife & Natural Conditions
Safari travel takes place in remote and dynamic environments. Weather, wildlife movement, road conditions, conservation requirements, park regulations, local conditions, aviation schedules and supplier operations can affect an itinerary.
Nandi Adventures may make reasonable changes to accommodation, routing, transportation, guides, activities or schedules where necessary for safety, conservation, operational feasibility or circumstances beyond reasonable control.
Where a material change is required, Nandi Adventures will use reasonable efforts to provide a suitable alternative and minimise disruption.
Wildlife sightings, specific species encounters, river crossings, gorilla locations and other natural events cannot be guaranteed.
10. Guest Health, Safety & Conduct
Guests must provide accurate information relevant to safe travel, including mobility limitations, dietary requirements, allergies, medical conditions that may affect participation and other special requirements.
Guests must follow reasonable instructions from Nandi Adventures staff, guides, park authorities, accommodation providers and activity operators.
Safari activities may involve inherent risks associated with wildlife, trekking, remote roads, water activities, mountainous or forest environments and light-aircraft travel. Guests are responsible for assessing their fitness and obtaining appropriate medical advice where relevant.
Nandi Adventures may modify or decline participation in an activity where a guest’s condition, conduct or circumstances create a reasonable safety concern or where an authority or supplier requires it.
Guests must respect local laws, conservation rules, wildlife protocols, communities, cultural norms and accommodation rules. Nandi Adventures may withdraw services from a guest whose conduct creates a serious safety risk, damages property or materially disrupts the journey. Resulting costs remain the guest’s responsibility.
11. Travel Documents & Entry Requirements
Guests are responsible for valid passports, visas, health documentation, vaccination certificates and other entry or participation requirements.
Nandi Adventures may provide practical travel information, but immigration, health and entry requirements can change. Guests should verify current requirements with the relevant authorities before departure.
Failure to obtain required documents does not automatically create a right to a refund and remains subject to the Payment & Cancellation Policy and supplier conditions.
12. Travel Insurance & Medical Evacuation
Comprehensive travel insurance is strongly recommended for all travellers and should, as appropriate, cover cancellation, curtailment, medical treatment, emergency evacuation, repatriation, travel interruption, baggage and the activities included in the itinerary.
Where included in the Nandi Adventures itinerary, local medical evacuation support is arranged through AMREF Flying Doctors for qualifying emergencies. This is not a substitute for comprehensive travel insurance and does not replace cover for medical treatment, repatriation or trip cancellation.
Some suppliers or activities may require evidence of insurance or medical fitness before participation.
13. Direct Client Bookings
The person making a direct booking confirms that they are authorised to do so for all travellers in the party and accepts these Terms & Conditions on their behalf.
The booking holder is responsible for accurate guest information, payment deadlines, relevant travel documents and ensuring that all members of the party understand the booking conditions.
14. Trade Partner Bookings
Trade bookings are accepted from authorised travel agents, tour operators, travel designers, destination specialists and other approved resellers.
Trade bookings are subject to Nandi Adventures’ Trade Partner Booking Terms. Where there is a conflict between the public client terms and an expressly agreed trade term, the specific written trade term applies between Nandi Adventures and the Trade Partner.
Trade Partners are responsible for collecting payment from their clients, communicating applicable booking conditions, providing accurate guest information and ensuring that Nandi Adventures receives all amounts due by the agreed deadlines.
A Trade Partner’s failure to collect payment from its client does not remove its payment obligations to Nandi Adventures.
15. Third-Party Suppliers
Nandi Adventures uses independent suppliers where appropriate and will use reasonable care in selecting and coordinating them.
Supplier conditions may be stricter than Nandi Adventures’ standard terms, particularly for luxury accommodation, exclusive-use properties, charter flights, permits, special events and peak-season travel. Where a stricter supplier condition applies, it will govern the affected service and any resulting charge will be passed through.
Nandi Adventures will provide reasonable assistance when supplier disruptions occur, but cannot guarantee the actions or decisions of independent suppliers.
16. Amendments & Guest-Requested Changes
Changes requested after confirmation are subject to availability, supplier approval and operational feasibility.
Changes to travel dates, guest numbers, accommodation, flights, permits or major itinerary components may incur amendment, cancellation, fare-difference and rebooking charges.
A requested change does not cancel or suspend the original booking obligations unless Nandi Adventures confirms the change in writing.
17. Cancellations, No-Shows & Refunds
Cancellations and amendments must be submitted in writing by the booking holder or authorised Trade Partner. The effective date is the date Nandi Adventures receives the written notice.
Cancellation charges and refund procedures are set out in the Nandi Adventures Payment & Cancellation Policy.
No refund is normally due for no-shows, late arrivals, early departures or unused services unless a supplier provides a recoverable refund or credit.
18. Force Majeure & Events Beyond Reasonable Control
Nandi Adventures is not responsible for failure, delay or disruption caused by events beyond its reasonable control, including severe weather, natural disasters, epidemics or pandemics, government action, border restrictions, civil unrest, strikes, transport or aviation disruption, conservation closures, security events and similar circumstances.
Where such an event affects a booking, Nandi Adventures will communicate the situation as soon as reasonably practicable and use reasonable efforts to reschedule services, obtain supplier credits or recover refundable amounts.
Force Majeure does not automatically create an entitlement to a full cash refund where suppliers or authorities retain funds or impose non-refundable charges. Recoverable amounts will be handled under the Payment & Cancellation Policy.
19. Responsibility & Liability
Nandi Adventures is responsible for the reasonable organisation and coordination of the services it directly operates and for exercising reasonable care in arranging third-party services.
Nandi Adventures is not responsible for loss, delay, cost or disruption caused solely by an independent supplier, wildlife, weather, road conditions, government or conservation authorities, aviation restrictions or other circumstances outside Nandi Adventures’ reasonable control, except to the extent liability cannot lawfully be excluded.
To the extent permitted by law, Nandi Adventures will not be liable for indirect or consequential loss, loss of profit, loss of opportunity or other remote economic loss.
Nothing in these Terms & Conditions excludes or limits liability that cannot lawfully be excluded or limited.
20. Complaints & Claims
Any operational concern should be reported immediately to Nandi Adventures, the guide or the relevant supplier so that a reasonable opportunity to resolve it exists during the journey.
If the matter remains unresolved, a formal written complaint should be submitted to Nandi Adventures within 30 days of completion of the safari, with relevant supporting information.
This procedure does not remove any legal right that cannot lawfully be waived.
21. Privacy & Personal Data
Nandi Adventures processes guest information for quotation, booking administration, permits, accommodation, transport, aviation, guest communication, emergency support, legal compliance and service delivery.
Personal data is handled in accordance with applicable Ugandan data-protection law and Nandi Adventures’ Privacy Policy. Health and other sensitive information will be collected only where necessary and handled with appropriate safeguards.
Trade Partners are responsible for ensuring that personal information shared with Nandi Adventures has been collected and transmitted lawfully.
22. Intellectual Property, Brand & Confidential Information
Nandi Adventures’ website content, itineraries, proposals, written descriptions, trade materials, imagery and branding remain the property of Nandi Adventures or their respective rights holders unless otherwise stated.
Approved trade partners may use authorised Nandi Adventures materials for legitimate promotion, provided information remains accurate and usage restrictions are respected.
Nandi Adventures net rates, contracted rates, supplier information and other confidential commercial information must not be publicly distributed or disclosed to unauthorised parties.
23. Governing Law, Disputes & General Provisions
These Terms & Conditions are governed by the laws of the Republic of Uganda.
The parties should first attempt in good faith to resolve a dispute through written discussion. If the matter cannot be resolved, the courts of Uganda will have jurisdiction, subject to any mandatory rights or procedures under applicable law.
If any provision is found invalid or unenforceable, the remaining provisions remain effective to the extent permitted by law.
Failure by Nandi Adventures to enforce a provision does not constitute a waiver of that provision.
These Terms & Conditions, the booking confirmation, invoice and any expressly agreed supplier-specific conditions constitute the agreement for the booking and supersede earlier informal discussions on the same subject.
24. Acceptance & Updates
Submitting a booking request, accepting a quotation, paying a deposit or other required booking payment, or travelling under a confirmed booking constitutes acceptance of these Terms & Conditions.
Nandi Adventures may update these Terms & Conditions for future bookings. The version applicable to an existing confirmed booking is the version accepted at confirmation unless a later written agreement expressly changes it.
